Our client, a Private Equity Investment company based in the city center, is looking for an Executive Assistant who speaks English fluently. This is a permanent role.
The executive assistant is in charge of:
* Travel Arrangements: Coordinating travel arrangements, both domestically and internationally
* Calendar Management: Managing the executive's calendar, including making appointments and prioritizing the most sensitive matters
* Internal reporting, including management of expense reports and other internal team-related admin functions
* Meeting management: overseeing the scheduling and organization of meetings and providing daily coordination support for the team as needed
* Collecting signatures and coordinating certification and apostilles for legal documents
* Office Management: Coordinating office management activities, including procurement of supplies and managing records
* Helping the team navigating through the various Luxembourg administration offices, by directing and coordinating the work of outside specialist consultants and specialized agencies
* Appropriate coordination and cooperation in various areas with other parts of the Group
The requested skills are:
* At least 10 years of experience as a Personal Assistant or Executive Assistant, with a proven track record in senior roles
* Strong experience managing business trips across and outside the EU
* Fluent in English. Knowledge of French or German would be a plus
* Strong communication skills (via phone, email, and in-person), excellent organizational skills, and the ability to think proactively and prioritize work
* Solid experience with office management systems, ERPs, and MS Office. Familiarity with online calendars and cloud systems
* Personal Attributes: Ability to exercise discretion and confidentiality with sensitive company information. Ability to work in a very intercultural environment and strong interpersonal skills. Positive work attitude, willingness to be part of a team, and reliability are essential
