Hauptaufgaben Serves as the Work Reception point of contact for Work Order and demand maintenance orders work, and work requests (DA 4283) within the DPW. Performs a variety of administrative/technical and associated typing/office automation duties related to the processing of work management data in systems such as General Fund Enterprise Business System (GFEBS), Army Maintenance (ArMA), Enterprise Military Housing (EMH) with other data base applications and web-based information systems. Receives requests directly from customers by telephone, in person, in writing, and from after-hours Fire Department. Enters Work Requests and demand maintenance orders into the General Fund Enterprise Business System (GFEBS)Customer Service Module and Management Systems. Ensures accuracy of customer, facility, job, and job costing information entered. Determines customers' priorities for their work requests and demand maintenance orders priorities from established criteria. Establishes and maintains hard copy Master Job Folders for all Individual Work Orders. Forwards work requests to various sections within the Branches or Divisions, such as Material Coordinator or Estimating & Planning Branch, for further action/coordination. Approves and forwards emergency and routine demand maintenance orders to the appropriate shops and/or Contracting Officer's Representatives (CORs), as applicable. Enters and ensures the status of work are kept current in GFEBS and Management Systems through screening, planning, and approval, while coordinating with other DPW sections, as necessary throughout the life of the Work Order. Monitors demand maintenance orders Backlog per Shop each week and coordinates material status with Material Coordinator to reduce the backlog. Generates recurring reports and compiles information from data resident in GFEBS or Management Systems regarding work order and demand maintenance orders statistics, such as number of requests generated, active, canceled, completed, etc. Maintains the GFEBS Customer Service Module and Management Systems, keeping the Status Codes and Customer Service System Tables (customer information ) current. Purges completed and canceled requests from the system. Uses alternate work documentation methods, such as GFEBS to maintain services if the primary system fails. Initiates action to closed-out Master Job Folders upon completion of the work. Serves as the Customer Service point of contact within the DPW. Receives inquiries and provides information about the services available through the DPW and the DPW procedures for requesting and obtaining them. Receives, researches, and provides answers to customer questions about their project/work and its status. Coordinates with other DPW divisions and sections to acquire customer information. Makes an appointment with customers for preventive maintenance, emergency, demand maintenance orders and work order visits to minimize disruption of normal operations and reduce inconvenience to the customer. Advises customers of work requirements which may negatively impact them, such as planned utility outages, equipment shutdowns, traffic detours, work delays, other schedule changes, etc. Maintains separate customer query and customer complaint logs. The customer query log is used to keep statistics on the total number of work order or emergency demand maintenance orders status calls received. The customer complaint log records information on customer complaints and the resolution of the complaint. Receives, validates, investigates, and resolves customer complaints. Receives customer complaints in person, over the telephone, via e-mail, and in writing. Contacts shops and other DPW areas to validate and identify the cause of the complaint and coordinates the complaint resolution with the shop supervisor or other supervisors to the customer's satisfaction. Follows up with the shop, other DPW staff, and the customer to ensure the complaint is adequately resolved. Develops and updates customer related informational material, such as customer handbooks, pamphlets, newsletters, flyers, and articles for installation publication. Ensures adequate distribution of these materials to all concerned parties through mailings and coordination with other sections of the DPW, including the housing office and self-help store, as well as installation information distribution points such as Army Community Services. Solicits customer feedback, both positive and negative, related to DPW provided maintenance and services via the Customer Comment Cards Investigates and attaches explanatory notes/comments to any negative feedback received. Performs Time Confirmation for Work Orders. Receives labor hours and vehicle hours per email and/or hard copy from the servicing DPW shops in accordance with the work orders. Checks paperwork for accuracy and resolves incorrect or inaccurate data with the appropriate DPW shops. Performs the booking of labor and vehicle hours into the General Fund Enterprise Business System (GFEBS). Performs process checks to confirm that material costs are booked; resolves issues when applicable with appropriate DPW shops. Performs final process checks to confirm labor hours and vehicle hours are correctly booked in GFEBS. Performs Technical Closeout (TECO) of orders in GFEBS. Electronically and/or manually files the final documents for all work orders in historical records database, per regulation/guidance. Performs other duties as assigned.
