Assistant European Digital Excellence Department (m/f/x)
The Position:
Support European Digital Excellence department head and team in coordination of activities, projects, appointments, travel and administration.

Roles & Responsibilities:
1. Coordination of appointments, telco and web conferences, organization of business trips (CWT), travel expenses, external and internal meetings, i.e., visits of partners with hotel bookings, transfers, allocation of equipment and meeting rooms
2. Correspondence with internal and external colleagues, e.g., contracts
3. Independently managing calendars as well as scheduling and confirming internal and external appointments including ordering catering and booking of meeting rooms
4. Manage all departmental financial project related tracking, reconciliation, reporting and processing in SAP
5. Preparing and generating of purchase requisitions (BANF) in SAP
6. Coordinating with procurement and tracking of financial status for ongoing projects / use cases
7. Supporting month-end, quarterly and year-end close financial processes and reporting
8. Posting goods receipts/service performances and monitoring of project milestones plus adapting finance planning to actual project status (handling of “Obligos”)
9. Functional invoice review, correction handling with vendor and approval
10. Support preparation and review of cost planning and phasing. Compilation and reporting of accruals in consolidation with the Project Manager
11. Creating and managing contracts, using the Daiichi Sankyo ConTrax database tool
12. Back-up for team and/or personal assistants (e.g., during holiday periods)
Education & Professional Experience:
13. Business Management education such as certified business expert (kaufmännischer Fachwirt / Industriekaufmann/-frau), certified business economist (Betriebswirt), or equivalent
14. Experience of at least 2 years in business management functions in mid-sized companies, authorities, or associations
15. Experience in business computer applications like Microsoft Office, SAP etc.
16. High proficiency of financial/accounting processes and administrative/ organizational procedures and systems
17. Very good knowledge of SAP system to support the internal requirements from DSE Finance
18. Good knowledge of Microsoft Office 365: Word, Outlook, Excel, MS Project, Power Point
19. Good Business management/project management skills
