Job Description
This role will support the smooth operation of the Central European Management Team (CELT) by providing comprehensive administrative assistance.
Essential Functions
* Calendar Management: Organize the daily schedule for CELT to ensure the most effective use of time, ensuring all internal and external meeting requirements are met.
* Travel Coordination: Book and coordinate travel arrangements for CELT within tight deadlines. Compile itineraries and liaise with regional offices to ensure seamless business trips.
* Expense Management: Handle expense claims within timeline for CELT members.
* Cross-Department Coordination: Work closely with all Visa functions to coordinate and organize meetings internally and with clients, to ensure smooth circulation of internal communications, and to implement various administrative activities across the business.
* Event Support: Assist with logistics and scheduling of offsite events for CELT members and client study tours. Manage client invitations for sponsoring events, ensuring seamless communication and coordination.
* Meeting and Document Preparation: Prepare letters, memos, presentation material, and reports as needed, ensuring timely responses and professional standards.
* Purchasing Order Management: Raise purchase requisitions and purchase orders and ensure swift payment of invoices.
* Organizational Updates: Maintain and update organizational charts and mail distribution lists to ensure accuracy.
* Stand-in for other PA’s: Support other PA’s during their PTO
This is an on-site position. An on-site position must be consistently performed at an assigned Visa office location and require daily commute to the office location.

•High School diploma or equivalent
•Proficiency in both German and English
•Excellent time management and organizational skills
•Proven ability to work collaboratively with employees at all levels of the organization
•Demonstrated ability to work on multiple and varied tasks, often under pressure, and prioritize work with strong attention to detail
•Self-motivated, proactive, and solution-oriented, capable of working independently or in a team looking for ways to add value and assist the team
•2+ years of work experience, preferably managing
•Experience in a blue-chip retail or service sector organization. Financial services experience is advantageous
•Strong PC skills with high proficiency in Microsoft Office Suite (Excel, Outlook, Word, and PowerPoint)
•Prior experience organizing and leading meetings
•Project management experience
•Intuitive and not afraid to challenge the status quo
