About the Company - NESFircroft are partnered with a global power generation client, actively sourcing a Site Administrator to join their high-profile project in Heilbron Germany. The ideal candidate will have a background in administration from a large infrastructure environment and will need to be able to speak fluent German. About the Role - This opportunity will be looking to start immediately, being site based on a 2 year contract. Workload is 40 hours per week. Responsibilities - Create and expedite orders and ensure the timely delivery of required parts. Report directly to the site manager, support the site manager and site team with all administrative tasks. Significant opportunity to demonstrate creative problem solving, communication and procurement process skills in a complex, global and fast-moving environment. According to EHS and quality standards, schedule and budget in accordance with compliance requirements. Plans, assembly procedures and related documents are prepared in English; reports listed below are prepared in English. Service Description - The service consists specifically of: Ensuring administrative management of the site. Providing the first point of contact for all client and contractor team members for logistic support and relationship with local administration. Ensuring insurance/interface with local bank, opening/closing site accounts. Performing site financial control respecting local legal requirements and integrity. Reviewing Contractor Change Requests (EWOs). Managing site reporting and tracking in close collaboration with the Site Manager. Managing procurement activities in compliance with procurement requirements. Working with C&C Sourcing Procurement Regional Procurement Manager to identify suppliers in the GE panel. Assisting in negotiating all procurement terms (NDA & T&C's) with supplier deliverables. Managing local contracts (Telephone, Printer, Site Consumables, Network, Local Nobo, Cleaning). Managing housing, hotel reservations, local transport, rent and/or fleet vehicles for employees. Local Procurement Responsibilities - Carrying out the management of all local orders at the site in connection with the local entity. Regular communication/status updates with the C&C Sourcing Manager. Carrying out the onboarding process with suppliers (registration, activation in the database and ERP). Purchasing of goods and services in accordance with the procurement requirements (framework agreements, competitive offers), daily interactions with suppliers during the project implementation. Ensuring financial follow-up of orders to guarantee payment to suppliers on time.
