Your responsibilities About the position EIT Health manages a portfolio of 100 projects annually and is seeking to hire a f reelance part-time temporary and time-limited Project Manager who will be reporting to the Head of the Project Management Office (PMO). The PMO is part of the Business Operations and Sustainable development Unit, one of the three pillars of the Growth Office, which is oversees operations across EIT Health. The PMO is responsible for the setting and maintaining project management policies and procedures; subgrantee onboarding and contracting; managing the subgrantee project level reporting; conducting the subgrantee project level monitoring; analysing monitoring outcomes; managing the subgrantee project change request process; maintaining the Grant Management System (GMS); business Plan development; EIT funder relations, including amendments and reporting; and membership operations. The candidate must be comfortable interfacing with stakeholders from teams across the organisation, coordinating the management of activities part of the EIT Health portfolio and with external organisations who are delivering activities in support of EIT Health’s mission. This is a part-time (up to 80 hours per month) time-limited position with a three-month temporary freelance contract with the option to extend in three month increments up to one year and is based in our Central Office in Munich. However, remotely working from Germany is possible. Your responsibilities Proactively engage with teams (internally and/or externally) that are leading EIT Health activities and ensure timely reporting and documentation on project progress, performance and spending ; Manage and document project change requests; Conduct and document project monitoring and evaluation based on established criteria ; Follow established project management processes to manage and support projects ; Document, e xtract, analyse data, produce, and maintain dashboards, trackers, and internal/external communication s regarding project and portfolio management and results dissemination ; Follow and improve upon procedures between the PMO and internal teams e.g. Finance, Data, Communications ; Support compiling the Business Plan and annual report s for EIT Health to funders ; Participate in regular and ad hoc meetings ; Report regularly to the Head of PMO on the progress of projects and interactions with other teams ; Provide written reports and maintain files/documentation in accordance to established procedures ; Propose mitigation/improvement plans related to the PMO for continual improvement; and Support the Head in operational tasks linked to the PMO development and improvement. Your skills & knowledge Validated experience working in international organisations, public sector, or healthcare sector, with a strong understanding of EU funder and funding compliance requirements ; Validated five years of experience in project management at EU level, involving grant /sub-grant management, stakeholders engagement and budget management – certification is a plus ; Validated experience in working in a multidisciplinary international team ; Experienced in working with a high level of autonomy, collaboratively, and cross-functionally across teams ; Comfortable in developing and managing relationships with stakeholders ; Strong verbal and written communication skills with an ability to synthesize and relay complex issues and ability to produce clear and concise materials; Excellent analytical and problem-solving skills, with the ability to identify and mitigate risks, and develop contingency plans ; Comfortable working in a fast-paced, dynamic environment that values creativity, collaboration, initiative, and maturity ; Q uality and result-focused, action-orientated, with the ability to juggle multiple initiatives, whilst knowing how to prioritize key initiatives to meet the timelines set and manage stakeholder expectations ; P rofessional levels of confidentiality and political savvy ; and Fluency in English spoken and written.
