Essential Functions Newpark Drilling Fluids Germany GMBH, leader in Drilling Fluids services in Germany, is hiring for its Celle office a Department Assistant. The resource is required to be English speaker, owns advanced computer skills including knowledge of MS Office software packages and/or company-specific databases, excellent communication and analytical skills. Must be able to work well with stringent deadlines and possess good organizational skills. Commitment to customer service and ability to work in team-oriented environment. Provides advanced support by handling a wide variety of administrative functions within a functional area. May be responsible for performing office tasks such as filing and/or maintaining confidential records, processing transactions and other similar duties. May prepare reports and presentations. Follows organizational and departmental procedures to complete tasks. May support in facilitating logistics of functional group. Handles special projects, as assigned. Works under limited supervision. MAIN TASKS: - Provides administrative support for the branch. Handles various departmental matters, as well as provides support, as needed. - Makes travel plans and reservations of flights, car, and hotels and collaborates in the operational organization of the movement of personnel, of the work shifts, of the medical examinations and of the refresher courses of all the personnel employed in the yards, of the convocations in turn. - Collects and manages different types of data for the branch. For example, might collect vendor, personnel or financial data for a project, report or database. - Performs accounting and administrative activities competently and on schedule. - Assists the management of the company for payables, receivables and inventory. - Collaborates for the control and recording of supplier invoice drafts, allocation of company costs and account reconciliation. - Might research and collect information to answer staff or client questions or resolve problems. - Updates and manages paper and electronic files and records of the branch. Typically, these include personnel shifts, overtime, vacation tracker for payroll and accounting records, client and personnel databases, subscriber lists and files for special assignments and projects. - May handle management and registration of Purchase Orders (PO) - Manages, disseminates, and stores various types of documentation to process travel reimbursements and fill reports. - Performs other duties as assigned.
