The role
The Facilities Manager oversees the security of our Berlin CCC and office, ensuring that all health and safety protocols are in place for staff. Although the role falls under Operations, the Facilities Manager works closely with the People and IT teams to ensure the smooth operation of the Bülowstraße site and maintain full compliance with health and safety regulations.
Key responsibilities
Maintenance Scheduling and Management:
1. Develop and implement preventative maintenance programs for CCC and office infrastructure, including HVAC, plumbing, electrical, and general building upkeep.
2. Schedule and supervise regular maintenance and repairs, ensuring all senior stakeholders are aware of any disruption caused by work.
3. Address and manage unexpected maintenance issues promptly and efficiently.
Security Management:
4. Oversee the security of the Berlin premises.
5. Manage and monitor security systems, including surveillance cameras, security policies, and alarm systems.
6. Develop and enforce security policies and protocols.
7. Manage relationships and communication with security providers, serving as the primary point of contact for all interactions.
8. Collaborate with the Inventory Teams to assist with stocktakes and case resolutions.
9. Reinforce the Bag Policy by directly addressing individuals who fail to leave their bags in the lockers, and supporting Team Leads.
10. Main point for security calls and be a reliable point of contact in emergencies.
11. Perform regular audits and spot checks, and continually review security footage and logs to identify and respond to potential security breaches or suspicious activities.
12. Manage the fob system by creating and deactivating fobs for Ops as needed for new hires, departures, and lost cases.
13. Oversee the end-of-day inspection to ensure consistent execution.
Health and Safety Compliance:
14. Ensure the Berlin site complies with health and safety regulations.
15. In collaboration with the office manager, organise the yearly Health and Safety audit, first aid training, and follow-up action points.
16. Ensure Fire Risk Assessments, training, and policy updates are conducted annually, and organise bi-annual fire drills in collaboration with the Office Manager.
17. Develop and implement safety policies and procedures.
18. Manage Operations DSE requests and assessments according to the DSE procedure.
19. Take ownership of the charging battery cabinets that serve the Operations team.
Contractor Coordination:
20. Coordinate and oversee the work of external contractors, landlords, and service providers.
21. Keep senior stakeholders informed about all ongoing work and potential operational impacts.
Supplies Replenishment:
22. Ensure the Berlin CCC is adequately stocked with daily operational supplies.
23. Assist the People Team and IT with ensuring new starters have a computer, desk, fob and welcome pack.
CCC Organisation:
24. Maintain a high standard of hygiene and tidiness at the Berlin CCC.
25. Manage communication with waste disposal and recycling partners.
26. Ensure all CCC areas comply with health and safety regulations and internal policies, such as the Battery Storage Policy.

30. Exceptional communication and interpersonal skills.
31. Proficiency in managing and monitoring security systems, including surveillance cameras and alarm systems.
32. Ability to take initiative and work independently.
33. Fluent in English and C1 level proficiency in German.
