Hauptaufgaben Serves as the Work Reception point of contact forFacility Engineering Work Request (DA4283). Receives requests directly from customers per e-mailEnters work requests, into the General Fund Enterprise Business System (GFEBS),Customer Service Module, Management Systems and C-Projects Proficient in GFEBS and cProjects and uses both to initiate, track, manage DPW and customer projects and priorities. Interfaces regularly with DPW and customer points of contact and assists with the processing of 4283 forms submitted, by using modern communication standards (including mobile devices). Initiates 4283 and Quad Charts forms when required. Works with DPW and customers to ensure 4283 forms are filled out completely and properly, and notifies customers of project status. Ensures accuracy of customer, facility, job, and job costing information entered. Determines customers' priorities for their work requests. Establishes and maintains hard copy master job folders for all Individual work orders, special projects, and standing operating orders (OWO's). Forwards work requests to various sections within the DPW and executing agencies Approves and forwards emergency and routine demand maintenance orders to the appropriate shops and/or Contracting Officer's Representatives (CORs), as applicable. Enters and ensures the status of orders are kept current in the Management Systems through screening, planning, and approval, while coordinating with other DPW and executing agencies, as necessary throughout the life of the work order. Monitors demand maintenance orders, backlog per Shop each week and coordinates material status with Material Coordinator to reduce the backlog. Generates recurring reports and compiles information from data resident in GFEBS or Management Systems regarding work orders and demand maintenance orders statistics, such as number of requests generated, active, canceled, completed, etc. Maintains the GFEBS customer service module, Management Systems and the C-Project's, keeping the status codes and Customer Service System. current. Purges completed and canceled requests from the system. Uses alternate work documentation methods, to maintain services if the primary system fails. Initiates action to closed-out master job folders upon completion of the work. Receives, validates, investigates, and resolves customer complaints. Contacts DPW and executing agencies to validate and identify the cause of the complaint and coordinates the complaint resolution with the shop supervisor or other supervisors to the customer's satisfaction. Follows up with DPW and executing agencies and the customer to ensure the complaint is adequately resolved. Develops and updates customer related informational material, such as customer handbooks, pamphlets, newsletters, flyers, and articles for installation publication. Ensures adequate distribution of these materials to all concerned parties through mailings and coordination with other sections of the DPW, including the housing office and self-help store. Solicits customer feedback, both positive and negative, related to DPW provided maintenance and services via the ICE Cards and forwards to the Supervisor Business Operation & Integration. Investigates and attaches explanatory notes/comments to any negative feedback received. Performs other duties as assigned.
