Job Overview:
As the Executive Assistant to the President at SANY Europe, you will be responsible for providing comprehensive administrative support to the President of SANY Europe. This role requires a highly organized and resourceful individual who can effectively manage a wide range of tasks, coordinate with internal and external teams, and handle local resources such as car rentals, housing, suppliers, and travel agencies. Proficiency in German is a must, and candidates with experience in public relations will be considered a plus.
Key Responsibilities:
Administrative Management & Support:
* Provide high-level administrative support to the President, including calendar management, meeting coordination, and travel arrangements.
* Streamline daily operations and assist in organizing the President's schedule to maximize time efficiency.
* Coordinate with other departments to ensure the smooth execution of executive-level decisions and initiatives.
Local Resource Management:
* Manage and coordinate local resources in Germany, including car rentals, housing, suppliers, and travel agencies, to support day-to-day operations.
* Develop and maintain relationships with local suppliers and service providers to meet the company’s operational needs.
* Ensure all necessary arrangements are made for staff or visitors, enhancing their experience in Germany.
Public Relations & Corporate Image: (Optional)
* Support the company’s public relations efforts in Germany and Europe to enhance SANY’s corporate image.
* Assist in managing communications with external stakeholders, including clients, partners, and industry representatives, to foster positive relationships.
Cross-Department Collaboration:
* Work closely with various departments, including HR, finance, legal, and marketing, to ensure seamless internal operations and effective decision-making.
* Act as a liaison between the President and other teams to ensure the timely and accurate flow of information.
Process Improvement & Efficiency:
* Continuously evaluate and improve administrative and operational processes to increase efficiency.
* Identify potential areas for improvement in workflow and suggest best practices for better resource management and service delivery.
Cultural Adaptation & Support:
* Provide cultural support to the President and help with adapting to local business practices and customs in Germany.
* Ensure that all administrative operations comply with local regulations and company policies.
Qualifications:
Education:
* A diploma or higher degree in Business Administration, Management, or a related field.
Experience:
* At least 3 years of relevant experience, preferably in a senior administrative role supporting executives or management in multinational companies.
* Familiarity with local resources, including suppliers, housing, car rentals, and travel agencies in Germany is highly preferred.
Language Skills:
* Native Chinese speaker with fluency in German (both spoken and written).
* Proficiency in English is required (both spoken and written).
Skills:
* Excellent organizational and communication skills, with the ability to coordinate multiple tasks effectively.
* Strong problem-solving abilities and ability to manage urgent situations efficiently.
* Proficiency in Microsoft Office and other office management tools.
* Ability to work independently and in a team environment with high attention to detail.
* Self-motivated, proactive, and adaptable to a dynamic and fast-paced work environment.
Other Requirements:
* Ability to work in Bedburg, Germany, and travel within Europe as needed.
* Valid driver’s license.
