Hauptaufgaben
Performs a variety of administrative, technical, and clerical functions in support of graduate medical education (GME) programs and other advanced healthcare professions training as specified below:
Guest Provider Program:
Obtains information from incoming physicians-in-training and other professional trainees, requests security clearances, access to electronic systems, identification badges/stamps, required accesses to clinics, procedure rooms, sleep area. Prepares letters of welcome from Commander, Director of Medical Education, program directors, and sponsors.
Assists in establishing training files, verifies credentials with outside educational institutions, ensures maintenance of required clinical certifications, audits files for compliance. Enters residents in the Centralized Credentials Qualifying Assurance System (CCQAS) and updates records as necessary.
Processes various administrative actions on behalf for residents as required. Ensures that resident training contracts are authenticated and filed. Prepares and submits accurate semi-annual and annual resident performance evaluations as required by The Surgeon General in a timely manner.
Assists in gathering and compiling data for various reports on residency programs and student activity, and also inputs data into automated programs. Assists in preparing rotation schedules for trainees as needed.
Assists the project officer in organizing orientation programs for incoming physicians-in-training and other professional trainees, and graduation ceremonies for interns/residents. Assists with certification of graduate medical training completion and in preparation of graduation certificates.
Maintains the historical program files on all students, in hard copy and database. Processes all requests from civilian institutions and respective licensing boards for verification of training and of professional and clinical performance of past graduates.
Acts as an alternate Recorder for the Human Resources Functional Management Team (HRFMT), taking minutes of the meeting in absence of the designated primary admin support staff.
Student Program:
Responsible for management of the visiting and rotating student program, ensuring compliance with regulations covering student clerkships in the Army's various Medical/Osteopathic programs such as Uniformed Services University, Health Professions Scholarship Program, National Guard, and Army Reserve Component, and accredited, civilian medical or clinical education programs and hospitals with approved memorandum of agreement. Independently coordinates and manages rotations of medical students, residents and other allied and professional healthcare trainees from local military community and other civilian educational institutions. Advises trainees of periods of availability for trainings, graduate education capstones and coordinates dates of rotation with clinical preceptors and the trainee's school/hospital personnel.
Processes inquiries from students, university officials, and others. Prepares personal data files and communicates confirmation of rotations to departments, trainees, and schools. Maintains an up-to-date spreadsheet of scheduled rotations.
Insures that relevant completed agreements are on file prior to trainees' arrival for training. Starts security clearance process, coordinates immunization clearance, infection control briefing, and training on computer systems. In-processes trainees, prepares required forms and counsels trainees on military and civilian requirements. Ensures all student evaluations are completed and forwarded to appropriate officials. Compiles trainee reports for the Command.
Performs other duties as assigned.

C-5:
E&T Level I: 2 years of creditable experience as defined in A below PLUS 1 year of experience as defined in B below.
Current employees who do not meet E&T Level I and who are not in the same or similar occupation must have 2 additional years of creditable experience as described in A below.
E&T Level II: 1 year of creditable experience as defined in A below PLUS 1 year of experience as defined in B below.
E&T Level III and above: No additional experience required.
Current employees who have served one year in the same or similar occupation are qualified for the next higher grade.
Experience A: Included clerical work in an office or store, working with computers, bookkeeping, making and recording inventories, telephone marketing, arranging for events or as a cashier, etc.
Experience B: Experience in the same or similar line of work as the job for which considered. The experience must demonstrate that the applicant possesses the particular knowledge, skills and abilities required in the position. The predominant experience must have been gained at a comparable level of difficulty to the position to be filled.

LANGUAGE PROFICIENCY LEVEL:
English Language Proficiency Level C1 AND German Language Proficiency Level B2 required.

B2 = Understand the main ideas of a complex text such as a technical piece related to their field. Spontaneously interact without too much strain for either the learner or the native speaker. Produce a detailed text on a wide range of subjects.
C1 = Understand a wide range of longer and more demanding texts or conversations. Express ideas without too much searching. Effectively use the language for social, academic or professional situations. Create well-structured and detailed texts on complex topics.

License requirements as well as anything else that is required in addition to the regular qualifications should be added here. Examples include:
* Experience with the use of common software and computer systems, carrying out routine office work (= Office Automation) is required.
* Knowledge of Medical Terminology required.

* This is a permanent full-time position (38.5 hours/ week).
*Relocation expenses are not authorized.
THIS CONCERNS ALL EXTERNAL APPLICANTS:
* Generally, you must have been a resident in Germany for at least 12 months. Non-US citizen family members and German citizens are exempt from this requirement.
* Your permanent residence must be within Germany.
* Police Good Conduct Certificate (Polizeiliches Führungszeugnis): On initial appointment, or re-appointment after a break in service, candidates who have been selected for a position must present a police good-conduct certificate prior to appointment to the position. The applicant must obtain the certificate from the local resident registration office. The cost for the certificate is not reimbursable. Non-U.S. citizen family members, except German citizens are exempt from this requirement.
* Upon appointment with the U.S. Forces it is required to present two valid picture identifications to get access to the computer systems. Recognized documents are only: Personal ID (Personalausweis), Personal Travel Identification (Reisepass) and the European Union (EU) Driver's License (plastic card format). We recommend ensuring at the time of application that at least two of these documents are available or requested.
* Foreign National Screening (Sicherheitsüberprüfung): In accordance with U.S. Army Europe Regulation 604-1, within three days after appointment, a background check will be initiated to determine suitability for continued employment with the U. S. Forces in Germany. If results are unacceptable, employment will be terminated during the probationary period, or any time thereafter, if the background checks reveal that the employee constitutes a security risk.
