Hauptaufgaben Receives maintenance requests, reviews maintenance for procedural compliance, verifies data, assigns job order number, determines and assigns correct cost account and work center codes. Assigns jobs to appropriate shop(s) assuring that work is scheduled to ensure most effective sequencing of work through work centers and shops, as appropriate. Monitors and analyzes incoming data, to include inspection worksheets, parts requests, repair codes, parts used listings, man hours utilized by individual and work center, and equipment status changes, then updates appropriate job order record. Prepares all required operational reports. Conducts causative research of inventory discrepancies applying knowledge of regulations, directives and technical publications governing accountability of government owned property IAW AR 740-26, AR735 (policies and procedures for Property Accountability), and Inventory Adjustment Reports (IAR's). Coordinates operation, maintenance and administration of functions and processes that relate to the investigation, correction and reporting of discrepancies in stock accounting records. Reviews Inventory Adjustment Reports (IAR's), loss and gains at the Global Combat Support System – Army (GCSS-A) sites and other documentation to determine scope and complexity of corrective action required. Receives work regarding special requirements, to include items that require particular attention, courses of action, priorities, and target dates for completion. Conducts extensive research in accountable records to confirm all actions pertinent to receipt or shipment. Reviews and analyzes local policies and procedures with a view toward enhancing operational effectiveness for discrepancy reporting. Reviews supply program operations to determine overall effectiveness and compliance with applicable laws, regulations, agreements and policies. Maintains a thorough knowledge of regulations and directives governing assigned subject areas to meet requirements and controls established by higher authority. Notifies the supervisor of procedures requiring further study, revision or coordination with other organizational elements. Recommends changes in policies and procedures to assure that property records are maintained properly relative to the receipt, storage, use; disposition; and that accounting by supply activities conforms to prescribed procedures. Identifies and compiles statistics, prepares reports on program effectiveness, trends analyses, projected workloads and discrepancies that effect the Availability Balance File (ABF). Controlling entails repair of automotive equipment combat vehicles, general and construction equipment, containerized equipment and associated ground equipment. Coordinates with respective shop supervisors the existing man-hour capacity to establish detailed shop production load. Maintains and controls data and information necessary to compare the provided funds with Maintenance Expenditure Limits (MEL) and cost requirements. Consults Item Managers to waive certain condition code standards, prepares waiver requests in instances where the MEL is exceeded. Monitors and controls cost progression of items under repair. Alerts supervisors in case of problems which are beyond purview. Investigates problem areas and initiates or recommends corrective action. Monitors and controls the status of repair parts for items awaiting shop induction or planned to be scheduled in the future. Prepares computer input data, establishes periodic Production Status Reports including Unit Cost Changes. Requests/supports coordination of movements from and to holding areas. Opens and closes Job Orders and initiates movement or relocation of equipment upon repair to the respective customer. Operates STAMIS or equivalent system primarily used to automate documentation and is used at the intermediate field and sustainment support maintenance level. Activates the system by powering on the logic module, printing equipment and the operator/user terminals. Monitors system performance to identify messages, or indicators on system failures in programs or equipment. Reviews input data to ensure its contents meet the criteria established for proper processing. Determines appropriate operation mode, i.e. batch or real time processing, and monitors work request flow/status to ensure sustained efficient computer utilization. Reviews results and output data/reports in terms of achievements of quantity and quality of work products and efficient data processing. Performs all daily, weekly, monthly and annual reports required by STAMIS User Manual and SOP/EUM for Global Combat Support System – Army (GCSS-A). Applies broad knowledge of logistics management (supply, maintenance, distribution, transportation and facilities functions) in order to prepare reports of survey with supporting documentation and inventory adjustment reports, reconciling financial accountability. This includes but is not limited to, inaccurate posting, shipping/receiving documents; inventory discrepancies between ABF, STAMIS and item manager records loss and or theft accounting, materiel release denials and processing of rejected distribution documents. Research due in and due out files to check that items are properly posted. Administration: Prepares, records and submits timecards for Local National employees and DA civilian personnel for the Maintenance Activity Vilseck. Records annual leave, sick absences, special leave, handicap leave, special leave awards, doctor appointments etc., into Time & Attendance Program and schedules. Reviews, controls and ensures that T&A Reports are correct and ready for Director to certify. Responsible for final review and signature of confirmation of T&A. Maintains accurate leave records on each assigned employee. Prepares and submits status reports (PERSTAT) of assigned personnel to higher HQ. On actions of an administrative nature, personally takes appropriate action including preparation of written replies. Prepares a variety of documents. Makes travel arrangements for Supervisor and staff to include preparing travel orders, coordinating transportation, hotel/government quarters and reservations in a timely manner, government vehicle/rental car reservations, preparing itineraries; submitting travel vouchers for payment; maintains records and files of travel performed and related costs. Schedules, coordinates and monitors mandatory Occupational Health Medical examinations with the local Health Nurses to ensure compliance with requirements. Incumbent is responsible for accountability and security of facility keys. Signs for building keys at the garrison and is performing inquiries on any lost keys and locks changed, take the appropriate action if keys are stolen, lost, or misplaced and identify discrepancies. Responsible for the Maintenance Activity Vilseck's Official Key Box, access control and key and lock controls register (sign in/out). Performs other duties as assigned.
