This is a key role for the Global Head of Global Service Delivery (GSD) at Allianz Partners. Your focus on delivering efficient and responsive administrative, organizational and logistical services to the Global Head of GSD contributing to enhancing overall team effectiveness and ensuring seamless workflow. Your impact will be felt through streamlined processes, heightened support, and an empowered team environment.
What you do
* Primary Point of Contact: Serve as the primary liaison between the manager and internal/external stakeholders.
* You will interact with other senior managers locally and internationally, handling urgent last-minute tasks and ensuring effective coordination.
* Communication Management: Efficiently handle phone calls, emails, and other correspondence.
* Schedule Management: You will efficiently manage the busy schedule, maintain the manager’s diary, schedule meetings, and arrange appointments.
* Travel Arrangements: Organize international travel logistics, including flights, accommodations, visas, personal bookings and itineraries.
* Meeting Support: Take dictation and minutes during meetings, ensuring important information is recorded accurately.
* Office Management: Handle office supplies, maintain filing systems, and ensure smooth office operations.
* You will support with printing attachments, and maintaining confidentiality of email content, attachments, and calendars.
* You will contribute to and coordinate ad-hoc projects and initiatives for the manager's office, such as workshop preparations, budgeting topics, and others.
What you bring
* Experience: Proven experience as a Personal Assistant o any other assistant role in an agile environment, requiring discretion in handling internal and external contacts
* Professional training or a degree in Office Administration
* IT skills, including proficiency in Office applications (PowerPoint, Excel, Word) and in business applications used at Allianz (e.g. SAP, ARIBA) is an advantage.
* Organizational Skills: Outstanding time management and multitasking abilities.
* Tech-Savvy: Up-to-date with the latest office gadgets and applications.
* Communication Skills: Excellent verbal and written communication skills. Fluent English skills are required; German skills would be a plus.
* Discretion: Ability to handle sensitive information with the utmost confidentiality.
