Purpose of the role
The Office Services Operator is responsible for delivering a first-class experience to our clients within the office. The role-holder is responsible for the accurate completion of all tasks, delivered within the agreed service levels agreements. This is a hands-on role and supports the Team Leader and rest of the team in managing the workflow.
As an Office Services Operator you will work along one teammate performing mail services, reprographics, and general administrative duties. Fluency in English and German is required.
Key Responsibilities:
1. Produce high-quality documents according to client specifications using high-speed reprographic (digital print) and finishing equipment
2. Monitor and replenish consumables for printers and calibrate machines as needed
3. Report and escalate issues to the Team Leader following established procedures
4. Scan hard copy mail/files into PDF format using high-speed scanners.
5. Ensure timely and high-quality completion of work
6. Fully understand workflow processes and procedures
7. Support colleagues and work collaboratively to achieve the best results for clients
8. Undertake additional duties as requested by management
9. Take responsibility for meeting targets and maintaining attention to detail.
10. Develop positive and professional relationships with customers
11. Provide flexible and responsive service, exceeding customer expectations where possible
12. Understand the customer’s business to ensure service delivery aligns with their objectives
13. Advise on the best methods of production and cost-saving measures
14. Ensure all deadlines are met and managed in accordance with client service level agreements (SLAs)
15. Minimize wastage and highlight any issues affecting production quality to the Team Leader
16. Maintain a clean and tidy reprographics area
17. Use the Internet and email appropriately
18. Escalate and manage IT issues as they occur

Qualifications:
26. Fluency in English and German is required
27. Reprographics experience preferred but not essential
28. Willingness to learn or previous experience in a customer-facing reprographics environment
29. Competent with Microsoft Office tools (Excel, Word, PowerPoint, Outlook, Teams) and Adobe Acrobat
30. Excellent attention to detail
31. Knowledge of routine maintenance and upkeep of equipment is preferable
