Office Administrator/ Receptionist - Frankfurt
We are seeking an Office Administrator/Receptionist to join our Life Science Divison in Frankfurt.
Responsibilities:
1. Answering & directing all calls in a professional manner
2. Welcoming all visitors to the office and ensuring sign in procedure is completed
3. Approving supplier invoices / reconciling invoices
4. Director Expenses/ Credit card uploads
5. Assist Office Manager with facilities.
6. First Aider (refill first aid boxes) / Fire Marshall (Fire Evacuation - Printing staff and visitor list)
7. Assist Office Manager with office tidying/clearing when required
8. Logging hot desk use
9. Cover any duties required when Office Manager is on holiday
10. Booking, co-ordinating meeting rooms
11. Booking Courier / Taxis
12. Booking lunches, making teas, coffees etc
13. Manage company orders
14. Updates to office desk plan
15. Booking travel as and when required
16. Issue security fobs / water bottles to new starters
17. Checking security cameras when required
18. Services to building i.e., Rentokil/gardeners/window cleaners/recycling
19. DSE Assessments
20. Keep maintenance log up to date
Requirements:
21. Good knowledge of Microsoft Office (Word, Excel)
22. 2 to 3 years in previous position
23. Good written and verbal communication skills
24. Friendly and professional manner
25. Problem solver
26. Flexible and adaptable
27. Ability to multi-task, organise, prioritise and plan
