In this role, you will be part of the CPO Office team and play a critical part in optimizing the CPO’s time, managing key administrative and operational tasks, and facilitating seamless communication between internal and external stakeholders. Your ability to anticipate needs, stay organized, and handle confidential matters with professionalism will contribute directly to the efficiency and success of the CPO.
The CPO Office serves as the central coordination hub for the Chief People & Culture Officer (CPO), ensuring seamless operations and strategic alignment across the People & Culture Function and the broader organization. Our team acts as a strategic advisor and daily support system for the CPO, managing priorities, driving engagement with key stakeholders, and monitoring execution of the People Strategy, which forms the foundation for Allianz Technology’s success.
What you do
Executive Support:
* Oversee a wide range of the CPO’s responsibilities, including office management
* Manage the CPO’s complex calendar, schedule meetings, and prioritize appointments
* Handle all travel arrangements, including flights, accommodations, and itineraries
* Act as a gatekeeper, filtering communications and handling correspondence on behalf of CPO
Administrative Support:
* Coordinate and manage internal and external events, conferences, and workshops in close alignment with the CPO Office members and Corporate Communications
* Collaborate with other Personal Assistants and business leaders to facilitate cross-functional activities
* Support the CPO Office in operational projects as needed
* Manage expense reports, invoices, and budget tracking for CPO
Communication & Relationship Management:
* Serve as the first point of contact for key stakeholders, including senior executives, EMT and BoM Offices, and external partners
* Liaise with the People & Culture leaders and teams across the globe to ensure alignment and seamless coordination
Confidentiality & Discretion:
* Handle sensitive people and business information with the highest level of discretion and integrity
* Maintain strictly confidentiality regarding personnel and company matters
What you bring
* Proven experience as a Personal Assistant, Executive Assistant, or in a similar role supporting C-level executives
* Strong organizational and multitasking skills, with the ability to prioritize effectively in a fast-paced environment
* Ability to work independently, take initiative, and anticipate needs effectively
* Proactive and self-motivated mindset, with a creative approach to problem-solving and a can-do attitude
* Excellent social, networking, and intercultural communication skills, paired with strong work ethics and attention to detail
* High level of professionalism, discretion, and emotional intelligence
* Exceptional written and verbal communication skills in English (German is highly preferred)
* Advanced proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint), collaboration tools (e.g., Miro), expense and people management tools (e.g., SAP and SuccessFactors)
* Experience in People & Culture (HR) or a related field is preferred but not mandatory
