Job purpose Works under the direction of the Director HR PMO & Policies to provide direct project management support to assigned HR-related projects within the organization. Initiates, plans, develops, executes and manages project timelines, conducts problem assessments, ensures efficient project implementation, and reports on project performance in close cooperation with the executing lines. Works to ensure maximum effectiveness of resources, quality, change, integration, cost, and scope management using effective communications techniques. Administers all HR policies and procedures, maintaining them up-to-date based on project requirements. Works across the organization through workgroups and cross-functional teams. Identifies opportunities for efficiency, effectiveness and process innovation while analyzing relevant project data and implementing process improvements. The position will act in accordance with the Group’s Mission, Vision, Values & Strategies, as well as policies, guidelines and international standards, supported by an IT Technology platform, HSE standards, government & other legal justifications, and best international practices in consonance with national objectives. Main tasks and responsibilities Collect project-relevant data for implementation planning. Monitor progress of HR projects against schedule, track budget, report on barriers and issues, and identify mitigation strategies to manage risks. Develop a work breakdown structure and project oversight to ensure project deliverables and outcomes are met in a timely manner. Initiate, plan, control and close out projects as assigned by PMO Global Director. Establish and document charters, project plans, project schedules, CAPEX requirements, clearly identifying tasks, deliverables, assigned roles and responsibilities and define the projects’ critical path to allow for governance. Assist with development of success metrics to report project results effectively. Identify appropriate resources required, keep vendor oversight, ensure engagement of teams, secure commitment to the work, track budget, and escalate to stakeholders as resource needs are identified. Prepare/negotiate project-supporting policies, company agreements and audit-relevant business handbooks with technical support from the business lines. Support, guide and direct project teams through project completion. Communicate timely and effectively by developing a communication plan and status reports on progress of assigned projects. Ensure the agreed upon scope as defined in the project charter is delivered to the requestor. Escalate changes to scope, schedule or budget by effectively utilizing the to-be implemented change management process. Main interface with HR functions (TM, Business Partners, HR Controlling, Vocational Training Center) Regularly update project teams, executives and stakeholders. Schedule meetings, prepare agendas, and facilitate cross-functional project teams. Support the development of RFI/RFPs and SOWs; manage project documentation and archiving. Implement non-line projects or projects for which there is a lack of resources in the lines. Education Requirements: Minimum qualification for this position is a vocational or Bachelor’s degree in Business Administration, HR, or related disciplines.
