Job Responsibilities for the Executive Administrative Assistant:
* Greet customers and visitors in a friendly manner to project a positive image of the Bank and direct them to the appropriate department.
* Provide comprehensive administrative support to the executive team.
* Facilitate communication with internal and external stockholders.
* Act as the stockholders recordkeeper for the Bank and Holding Company.
* Assist the finance department with accounts payable and expense reports.
* Assist the board secretary with preparation of agenda, packet and minutes for board meetings and typing of various board reports.
* Make hotel and travel arrangements for staff attending bank conferences or offsite training.
* Advise management team of community events, business open houses and provide gifts, cards.
* Manage the inventory and order all office supplies and equipment.
* Responsible for postage metering of outgoing mail and assistance with special mail needs such as certified, overnight, etc.
* Participate on Bank committees as directed by CEO.
Education & Experience
Required:
* High school diploma or equivalent.
* Computer and mathematical skills.
* Customer/client focus.
* Handle sensitive information in a confidential manner.
* Proficient in Microsoft Office, including Word, Excel, and PowerPoint.
* Time management skills and the ability to multi-task and prioritize work.
* Strong organizational and planning skills.
* Decision making.
* Stress management/composure.
* Attention to detail, accuracy, and problem-solving skills.
Preferred:
* Bachelor's degree in business management, accounting, finance or communications.
