Main responsibilities are to support the team in every aspect of its day to day running. This is an all-encompassing secretarial and administrative coordination role. As member of the assistants team, the assistant will report to the Assistants Team Leader. Main Duties and Responsibilities - Diary Management - intelligent and reliable travel arrangements with complex itineraries in liaison with other offices; proactive prioritising and filtering - Organise and facilitate a high volume of meetings, conferences, investor meetings/events (including international conference calls/Zoom Meetings) - Ensuring all deadlines are met and that managers are fully prepared for meetings (assisting with the preparation of presentations: updating and creating presentations, printing and binding) - Regularly updating and maintaining of databases - Maintain stock of marketing literature and materials, maintain up-to-date filing of client presentations - Provide assistance with the organisation and preparation of external events, fairs, etc. in liaison with marketing, client capital and client service teams - Liaising with external service providers and business partners, drafting own correspondence - Translating of presentations into German and English, proof-reading - Document management (manage proactively signatures, printing, binding, filing of documents) - Maintaining up-to-date and organised filing systems (physical and online data storage) - Typing of correspondence - Ad hoc project work - Collaborating with other members of the Frankfurt assistants team in order to ensure that there is adequate cover (telephone duties, holiday cover, reception, etc.) - Provide backup coverage to the Reception team when one of the team is on leave - Mail service to the team including posting, copying and scanning, couriers - prepare travel expenses according to our policies - Taking minutes of meetings - Further administrative tasks Technical Skills & Qualifications Required - Advanced knowledge of MS Office (Outlook, Word, Power Point, Excel), Adobe Standard - Very good German (incl. orthography) and English language skills necessary Competencies Required - Experience as team assistant required, ideally in an international company - Willing to acquire knowledge of our products - Service-orientation - Ability to build professional relationships and trust - Good communication skills - Good analytical, planning and organizational skills - Attention to detail, accuracy - Punctuality and flexibility - Must be capable of meeting deadlines, self-organized - Committed, positive working attitude - Team player - Hands on approach Act in line with Nuveen's Company Values This role requires no regulatory designation.
