Area of responsibilities:
* Oversee and manage all aspects of employee travel, including flight bookings, hotel accommodations, ground transportation, and other necessary arrangements
* Work closely with travel agencies, negotiate contracts and rates to secure cost-effective and efficient travel options
* Develop, implement, and maintain travel policies and procedures to ensure compliance, efficiency, and cost control
* Provide guidance to employees on travel regulations, visa requirements, and best practices, ensuring smooth and hassle-free travel
* Stay informed about the latest travel industry trends, technologies, and best practices to continuously improve travel processes
* Handle and resolve any travel disruptions (e.g., flight cancellations, delays) by coordinating alternative arrangements promptly
* Monitor, review, and analyze travel expenses and invoices, ensuring accuracy, cost-effectiveness, and adherence to budgets
* Generate regular travel reports on expenses, trends, and cost-saving opportunities for management review
* Collaborate with Finance and HR departments to streamline travel processes and align them with company goals
* Ensure adherence to corporate travel safety and security measures, providing guidance to employees and implementing necessary protocols
* Act as a deputy for fleet management, supporting operational needs and assisting in fleet-related responsibilities
Profile of qualification:
* Bachelor’s degree in a relevant field, equivalent education, or relevant professional experience
* Strong negotiation and communication skills to effectively liaise with travel agencies, vendors, and employees at all levels
* Excellent organizational and time management skills, with the ability to coordinate multiple travel arrangements simultaneously
* Analytical mindset with the ability to interpret and evaluate travel data, expenses, and trends
* Previous experience in corporate travel management or a similar role is an advantage
* Knowledge of travel industry practices, regulations, and online booking systems
* Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
* Fluency in English and solid proficiency in German
