Position Overview: The Executive Assistant to the CEO will serve as a key partner and trusted advisor, providing high level administrative and strategic support to the CEO. This role requires exceptional organizational skills, discretion, and a proactive mindset to ensure seamless operations in a fast paced, global business environment. Key Responsibilities: Administrative Support: Coordinate and prepare for meetings, including agenda creation, materials preparation, and follow up. Handle confidential correspondence and communications on behalf of the CEO. Manage and maintain the CEOs calendar, including scheduling meetings, appointments, and travel. Project Management: Assist in managing strategic initiatives, tracking progress, and ensuring timely completion of deliverables. Collaborate with internal teams to gather data, prepare reports, and support decision making processes. Oversee special projects and ad hoc tasks as assigned by the CEO. Communication and Liaison: Serve as the primary point of contact between the CEO and internal/external stakeholders. Facilitate clear and effective communication, ensuring timely responses and actions. Represent the CEO professionally in all interactions. Operational Support: Maintain organized records and filing systems for key documents. Prepare high quality presentations, reports, and documentation. Anticipate the CEOs needs and provide proactive support to streamline daily activities. Travel Coordination: Arrange complex international and domestic travel itineraries, including accommodations, transportation, and visas. Ensure travel plans align with the CEOs schedule and business priorities. Qualifications: Bachelors degree in Business Administration, Communications, or a related field. Bilingual French/English as a minimum. Minimum of 5 years of experience as an Executive Assistant, preferably supporting C suite executives in a small global organization. Exceptional organizational and time management skills, with the ability to prioritize effectively. Strong written and verbal communication skills. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom). Experience coordinating international travel and managing multiple time zones. Discretion, confidentiality, and professionalism in handling sensitive information.
