Office and Business Coordinator (temporary - maternity leave)
In this role, you are the first point of contact for visitors, the management, and employees. You support in various administrative and coordination tasks, support the management in daily issues and projects, and look after the office and building. The ideal profile brings along a client- and service-oriented attitude, great organizational skills, a reliable way of working, and a hands-on mentality.
HOW YOU'LL MAKE A DIFFERENCE
1. Support planning, receiving, documenting, and shipping of material, compound, and tire samples between development, OEM, material vendors, factories, test riders, and teams
2. Support coordination of material and tire testing
3. Planning of the material and tires inventory
4. Support management in processing supplier offers, purchase orders, and invoices
5. Manage employee credit cards
6. Various facility management tasks (service contracts, supplier access, planning, loading and unloading of trucked pallets, etc.)
7. Order and manage office, lab, workshop supplies, and IT equipment
8. Manage employee product purchases
9. Keep travel calendars up to date
10. Manage mail correspondence
WHAT YOU NEED TO WIN
11. Ideally min. 2 – 3 years’ experience as Receptionist and/or Office Coordinator
12. Practical thinker with a hands-on mentality (e.g., when it comes to receiving and shipping express size parcels)
13. Dedicated, reliable, and meticulous person with a high client- and service-orientation and a proactive mindset
14. Ability to stay calm and keep the overview, and patience even in hectic times
15. Excellent communication skills in German and English with the ability to effectively interact with employees, visitors, external partners, and employees at all levels
16. Profound IT user knowledge (MS Office, Outlook)
* This is a temporary position to cover maternity leave, with an expected end date of January 1, 2027.
