Job Summary & Responsibilities We are looking for a Sales Administrator to support our European team of regional sales managers in the day-to-day business activities. The Sales Administrator will be reporting to the Senior Director of Sales Europe. The Sales Administrator will play an essential role as a trusted partner for regional management, regional sales managers and customers that is always on top of all administrative topics, can provide or organize required information and support both internal and external stakeholders so they can be as efficient as possible in their day-to-day business activities. The Sales Administrator is the heart and soul of the regional organization. Responsibilities include: Create, own, and publish regular reporting on sales metrics such as revenue, forecast, sales funnel, performance vs. targets, etc. Reports will need maintenance, adjustments, and development regularly to follow company and management requirements as well as changes in data sources. Support sales team in all aspects of order processing from quote to final acceptance. This may include but is not limited to: Support team in quote creation in ERP system Help maintain accurate data in CRM system Verify, check, create, document and file all paperwork required for processing a customer purchase order Organize system shipment logistics with customers’ logistics departments Follow-up with customers’ accounts payable departments to ensure timely payment of open invoices Track open final acceptances, document regular updates from service and application teams on acceptance progress and outstanding activities with related timeline. Provide related reporting to headquarters and regional management Be the point of contact for customers for all administrative questions related to a purchase order/system shipment/installation, e.g. questions on invoices, info needed for customs clearance, etc. Owns and steers planning and logistics for trade shows, conferences, etc. in the region together with corporate marketing team. Support regional management team with none sales-related admin work where required. Help out in logistics, spare parts and service business processing if needed as a back-up. Potentially, the successful candidate can also grow into being the office manager for our new to-be-established Dresden office. The position is based in Dresden, Germany. Limited international travel can be required. The position can be fulfilled by one full-time person or two part-time employees, and can be a perfect starting point for an ambitious graduate interested in a commercial career in the technology industry.
