Payroll Specialist
The payroll specialist is responsible for the payroll process and point of contact within the HR department and joint point of contact with all employees regarding payroll queries.
Tasks:
Processing Company Payroll
1. Assist in the transition of Payroll to external payroll company
2. Standardize Payroll Process across all entities for Processing, Accounting & payments
3. Ensures accurate calculation of wages, tax withholdings and company deductions
4. Main contact for outsourced payroll solution
5. Collate and communicate Monthly Payroll data to the payroll service provider
6. Reconcile Payroll Output from the provider for its accuracy by reviewing the Payroll results and Net Pays and advising the provider with any errors/inaccuracy and corrections
7. Manage the Interface to and the SLAs with the outsourced Payroll provider
8. Ensure delivery of Net Pay, 3rd party payments (such as social security, benefits contributions, Pension etc.) or Payroll funding as required for each of the locations
9. Internal Absence Management – Tracking and delivery to the external provider
10. Interact & Coordinate with Government agencies such as Social Insurance agencies, Financial Authorities, Labor agency or others as required for payroll related matters
11. Responsible for archiving and keeping up to date payroll records and reconciliation reports after each Payroll run
12. Perform Quarterly Accounts reconciliations & Year-end Activities
13. Support all Payroll related Audits ( Wage TAX Audits, Internal Audits, Any other general audits)
14. Ensuring compliance to National legislation, Internal Controls & Guidelines
15. Support for Payroll Forecasting & budgeting
Provide Data to Finance Department
16. Provide monthly payroll reports to the Finance department
17. Provides statistical reports on vacation
18. Prepare and Collate accruals for accounting & Controlling
19. Responsible to review and transfer Payroll GL files to accounting and prepare the GL postings for all covered countries/entities
Ensure Accurate and Current Data
20. Maintain accurate files and records to ensure access to up-to-date information figures and reports
21. Prepare statistical reports on employee pay, commissions and bonuses; vacation, sick, disability and workers compensation leave; taxes, withholdings, etc.
22. Complete statutory returns
23. Conduct manual calculations when and if required
24. Liaise with Regional HR and the Accounting Team for activities that impacts payroll
25. Liaise with the Human Resource Managers and department managers to ensure that all payroll changes are accurate
26. Ensures accurate calculation of wages, tax withholdings and company deductions
Client Management
27. Act as a Single point contact for all payroll related queries for our employees
28. Internal Point of contact for all Wage Tax, Social Security related queries from employees
29. Generates and responds to inquiries regarding paychecks.
30. Provide an information service to staff with payroll queries
31. Attending to all ad-hoc payroll related requests & queries
32. Providing data for senior management
Required Skills
Skills:
33. Prior Payroll Processing experience of Payrolls for at least 1 to 2 or more years & Good understanding of Payroll Process in general
34. Professional Degree in Management/Accounting Experience with ERP ApplicationReconciling and Accounting experience PreferredProficient and competent in Vendor managementAttention to detail and analytical thought process Capability to work with minimum supervision and problem solving skills
35. Excellent numerical skills gained during a number of years experience as a payroll clerk
36. Well developed administration skills - data input, record keeping
37. Accuracy and attention to detail with the ability to priorities tasks
38. The ability to work under tight deadlines Effective communication skills & proficiency in English language
39. Initiative, adaptability and flexibility
40. Good communication skill
