Events / Administration Manager (m/f/d) Manage the entire event planning process, from initial concept to final execution, ensuring all requirements, target audience needs and organizational objectives are met. Work creatively to suggest ideas that will enhance the event's success. Identify, source and negotiate with vendors and suppliers to secure the best partnerships for the event. Maintain strong, ongoing relationships to ensure high-quality service and timely delivery. Provide on-site and remote support during events, stepping in to resolve any issues quickly to ensure everything runs smoothly. Stay on top of all details, anticipating potential challenges and addressing any problems that arise to ensure the event proceeds without disruptions. Ensure all event plans and logistics align with company policies, standards, and safety guidelines, while maintaining compliance with legal and regulatory requirements. Work closely with the travel desk, reception and other admin managers, particularly when travel is involved, to ensure seamless coordination and support. Manage event budgets effectively, carefully tracking expenses and ensuring events are delivered within budget. Review and evaluate the budget afterwards to identify areas for improvement. Keep accurate records of all company events, including those organized by other departments, ensuring proper documentation for tax and regulatory purposes through the “ELO” technology system. Be flexible with working hours and location as needed in the weeks leading up to events, ensuring thorough preparation and coordination for successful execution. Fluency in English and German, with strong written and verbal communication skills. Strong teamwork skills with a focus on service excellence and clear, positive communication. Highly adaptable to varying workloads and priorities, handling urgent tasks with ease. Skilled at assessing and optimizing cost efficiency to meet budget goals. Ability to organize and manage tasks independently, meeting deadlines effectively. Proactive problem solver with the ability to stay calm and perform well under pressure. Advanced user of Microsoft Office Suite for task management and documentation.
