After extensive training, you will take over the following tasks
1. Provide secretarial support (manage MD's calendar, update travelers’ calendars etc.)
2. Provide administration support (organise MD's travel expenses, visitors overview, upkeep of office equipment, printing calendars/ diaries etc.)
3. Work in an international team: i.e. cooperation and communication (via phone and email) with customers, suppliers, visitors, our sales managers and the German headquarter
4. Organize complex travel, accommodation and transport arrangements including establish corporate account
5. Responsible for the organization of meetings, conferences and team bonding events, including preparation of minutes
6. Support in the organization of exhibitions
7. Logistics tasks (prepare commercial invoices, packing, order dry ice, arrange shipment)
8. Sales support, e.g. data entry, research, presentations and handling orders
9. Internal sales support e.g. raise purchase orders, quotations, invoices and credit notes
10. IT support, e.g. inventory management, coordinate with HQ (sourcing of parts, monitor installed systems)
11. HR support (on and offboarding), e.g. set up laptop including necessary software/ access, collect a copy of NRIC, coordinate in-house training
Your skills
12. At least 4 to 5 years of working experience as personal assistant or administration manager
13. Diploma or degree in business studies, administration, management or equivalent
14. A high level of confidentiality as you will have insight into confidential matters
15. Excellent self-organization skills and proactivity
16. Has an eye for detail and possess a dynamic, committed attitude with strong sense of initiative
17. Intercultural competence and excellent communication skills in English, both written and verbal
18. Strong proficiency in Microsoft Office
19. Dynamic, highly motivated, well organized, and detail oriented
20. Very good team player
