1. Coordination of appointments for the SVP
2. Professional travel planning incl. visa procurement and travel expense accounting
3. Creating, updating & formatting PowerPoint presentations and other documents according to specifications
4. Organization of internal and external meetings, TCs, VCs, workshops
5. Processing of order transactions (creation of purchase requisitions, goods receipt posting and payment tracking)
Completion of administrative tasks in drug approval:
6. Organization of administrative documents (e.g. ordering Certificates of a Pharmaceutical Product (CPP), notarized and legalized documents)
7. Coordination of translation work, some smaller translations based on templates, text comparisons/revisions
8. Checking the copyright for literature references
9. Document creation and maintenance in a document management system
10. Maintaining and querying approval-relevant data in a database, coordinating queries with global colleagues
Your profile
11. You have completed a commercial training/apprenticeship and at least 2 years of work experience in an office admin / assistant position
12. You have experience in an intercultural working environment, ideally within a multinational Matrix driven organisation
13. You are fluent in German and English (both written & spoken)
14. You have a very good knowledge of standard MS Office software (Outlook, Word, PowerPoint), basic knowledge of Excel
15. You are known for your organizational strength and your ability to work in a team
16. You are reliable & able to meet tight deadlines
17. You have a high affinity to IT/working with databases
