Your Role
1. Support department head and Project Management Office in general administrative topics to ensure smooth project operations, including preparation of materials for communication such as power point presentations, etc.
2. Calendar management (scheduling of all overarching management meetings and coordination of appointments)
3. Travel organization (planning and organizing business trips and ensuring correct travel expense reporting)
4. Support in general office administration, e.g. email inbox, task delegation and priority setting
5. Independent preparation and follow-up of team meetings and team events together with the department team
6. Support administration of setting up new accounts for external partners, esp. consultants
7. Preparation of SAP reports and assistance in tracking and reporting of project related costs and booking
8. Purchase requisitions and ordering of requested materials and services and Interacting with internal and external vendors regarding ordered / requested materials and services, invoices, etc.
Your Profile
9. Bachelor's degree in business administration or comparable preferred experience
10. At least 3 years of experience in a comparable task
11. Knowledge of ZEISS culture and organization, internal network preferred
12. Experience in working with cross-cultural, multinational teams preferred
13. Very good MS Office skills (PowerPoint, Word, Excel, Teams)
14. SAP skills are a plus
15. Strong communication skills, organizational strength and integrity
16. Structured way of working as well as a confident and friendly appearance
17. Hands-on mentality and pragmatical mindset
18. Very good communication skills in German and English, both written and spoken
