Job Description The Administrative Assistant will be responsible for all administrative tasks within the Specialty Catalyst Sales and Process Technology departments and will also support the Materials Technology Technical Service team. Responsibilities include the organizing internal sales meetings and customer events, travel management (arranging and expense management) and managing Grace internal documentation center for these departments, etc. The position holder will closely collaborate with Grace team members in Worms, Germany, as well as with colleagues in other countries in Europe and the Middle East. Responsibilities - Complying with all internal and external safety regulations pertaining to environmental protection and occupational & traffic safety according to the GRACE EHS system and ensuring that the staff assigned to the executives receive up-to-date training; directly pointing out and stopping identified mistakes or wrong behavior. - Supporting the Specialty Catalyst Sales EMEA, Specialty Catalyst Process Technology group in Worms and Material Technologies Technical Service Group in all administrative tasks, including: - Preparation and organization of internal sales meetings and customer meetings. - Close cooperation and coordination with Sales, Marketing and Logistics. - Make travel arrangements as well as record travel expenses in Concur. - Handling of correspondence and reports, keeping track of contracts and agreements. - Entering and completing of purchase orders. - Managing of the department DocuCentre, which includes supporting the responsible persons when issuing Work Instructions and SOPs., distribution of such documents. - When necessary, taking over additional tasks in related or other projects. Required Qualifications - commercial or equal apprenticeship - good knowledge of MS-Office, SAP R3, Ariba, SAM - experience in customer service - very good language skills (German and English) - independence, organizational skills and initiative - teamwork and service orientation Preferred Qualifications - Knowledge of DIN EN ISO 9001/14001/50001 - Commercial or equal apprenticeship or alternatively many years of professional experience in an equal position Grace is not accepting unsolicited assistance from search firms for this employment opportunity.
