In this role, we are looking for a candidate who will provide high-level administrative support to the members of the Management Board, including the CEO and CFO, and other senior executives.
You will be working closely with another colleague on an early/late shift model with some overlap over the midday. This role is intended to cover the Management board in the second half of the day.
Your tasks and responsibilities will include:
1. Schedule and Communication Management: You will manage executives' schedules, including meetings, appointments, and handle all incoming and outgoing communications such as emails, calls, and correspondence.
2. Meeting Coordination: You will schedule and coordinate Management Board meetings and executive gatherings, arranging logistics including venue, catering, and technical setup.
3. Project Assistance: You will assist with planning and executing special projects as directed by the Management Board, conducting research and preparing presentation materials.
4. Communication Liaison: You will act as a point of contact between the Management Board and internal/external stakeholders, facilitating communication within the executive team and across departments.
5. Confidentiality and Professionalism: You will handle sensitive information with confidentiality and discretion, maintaining professionalism and integrity in all interactions.
6. Travel and Office Management: You will organise travel arrangements for the Management Board, ensuring efficient trips, and oversee daily operations of the executive office, including supplies, equipment, and facilities management.
What we are looking for:
7. Minimum of 5 years of experience in an executive assistant or similar role, preferably in a public listed company, a top tie consulting firm, law firm or bank
8. Bachelor's degree in Business Administration, Management, or a related field preferred
9. Availability to work flexible hours in the second half of the day, Friday is a required working day
10. Proactive and detail-oriented way of working, exceptional organizational skills and the ability to handle multiple tasks in a fast-paced environment
11. Strong interpersonal skills and the ability to work effectively with diverse teams
12. Strong written and verbal communication skills in English and German
13. Proficiency in Google & Microsoft Office Suite (Word, Excel, PowerPoint)
