We are looking for an experienced office administrator with catering experience to join our International Food Services team in our campus at EMBL Heidelberg. The EMBL Food Services department comprises 29 staff working in 3 sections, Event catering, Canteen and the Cafeteria. Event catering is currently coordinated by a team of two experienced colleagues. We provide our services to the Courses and Conference office as well as other departments that organise international meetings at the Heidelberg campus. We advise and plan with our clients to supply catering at the quality level they require, working together with other internal departments and external suppliers. During conferences, lunches are served as finger food for up to 500 delegates and full evening meals in the canteen. VIP events with full table service and larger social events are also supported. Your role ADMINISTRATIVE Streamline and manage back-office administrative in collaboration with Food services and Finance colleagues Assist the Head of food services with administrative tasks. Working closely with the Catering, Canteen and Cafeteria staff with administrative tasks Daily shift on the canteen till "Kasse' during the lunch service ASSISTING THE CATERING TEAM General assistance of the catering and service coordinators including: Preparation and implementation of coffee breaks, lunches, receptions and dinners for events on Campus Coordinating internal and external service staff Stock control and ordering and receiving of the required goods Administrative tasks (orders, preparation of quotations, invoicing and stock control, correspondence, budget control etc) You have Solid experience in office administration and operations Extensive software experience including Microsoft Office and famiiarity with working with ERP systems (SAP and/or Workday is advantageous) Some general experience in Catering (training will be provided) Strong communication skills and a service oriented, friendly personality are needed for this role Ability to work comfortably in an international environment with international guests and colleagues High degree of initiative, flexibility and adaptability Excellent German language skills and business level English skills We offer Competitive pay exempt of income tax and weekday working hours Dynamic career in an international, supportive environment Generous evening or weekend overtime rates Beautiful campus with modern facilities Encouragement and continous support to develop, train and modernise services The EMBL Canteen serves 800 to 900 staff meals daily, between 11.45 and 13.30. The EMBL Cafeteria serves refreshments, full Barista service, snacks and food between 08:00 and 17:00. Both Canteen and Cafeteria provide services for Event catering. The working hours are 39 hours per week from Monday to Friday from 07:00 to 15:30 (Tuesdays and Thursdays 7:00 - 15:00). This position may also include working in other departments/sections such EMBL ISG hotel, Canteen and Cafeteria. Evening and weekend duties may be required for events, conferences and seminars.
