The primary purpose of this position is to serve as the principal executive assistant performing various administrative, managerial, and clerical duties in support of the Director (A6) and Deputy Director (A6D) of Communications for Headquarters United States Air Forces in Europe-Air Forces Africa (HQ USAFE-AFAFRICA). Responsibilities Performs wide variety of administrative, clerical, and managerial work in support of the Director and Deputy and directs the administrative operations to ensure the most efficient and effective support is to provide the Director and staff. Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets Plans, organizes, and oversees the operational schedule and long-range calendar of the Director and Deputy Director. Provides the Director and Deputy with data and information for making decisions on the daily administrative aspects of the Directorate's operations and management. Requirements Conditions of Employment Qualifications In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-07, or equivalent in other pay systems. Examples of specialized experience includes consolidating reports submitted and review outgoing correspondence prepared by others for procedural and grammatical accuracy, conformance with general policy, and factual correctness; knowledge of an extensive rules, procedures or operations applied to secretarial clerical assignments; knowledge of various office automation software programs, tools, and techniques; knowledge of correct grammar, spelling, punctuation, capitalization and format. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-07 level is required to meet the time-in-grade requirements for the GS-08 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Knowledge of extensive rules, procedures, or operations applied to secretarial and clerical assignments to perform the procedural and administrative work of the office, such as preparing and editing documents; maintaining files/records, making and preparing travel arrangements, locating, assembling, and composing information for various reports, inquiries, and nontechnical correspondence, and security procedures to oversee control, handling and processing classified material. 2. Knowledge of military command structure, missions, programs, and organizational relationships and program goals and objectives, the sequence and timing of key operational events and milestones and methods of evaluating planning actions as they relate to actual events. 3. Knowledge of the Cyber/Information Technology Community sufficient to understand general relationships to the activity, and of activity organizational makeup and commitments of the A6 principals to prepare and review correspondence, to screen telephone calls and visitors, to maintain the calendar, and to perform other substantive administrative work of the organization. 4. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports. Ability to communicate effectively, both orally and in writing and to plan, organize work, and meet deadlines. 5. Knowledge of various office automation software programs, tools and techniques to support office operations and produce a variety of documents such as letters, reports, memos, spreadsheets, databases and graphs; and expertise with multiple information systems required to manage the directorate's administrative functions. 6. Skill in planning and independently managing short and long-term appointments, arranging meetings, and conveying information. Skill in typing; a qualified typist is required. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
