In addition to administrative duties, this position will offer significant finance support. You will collaborate closely with the finance team to assist with financial documentation, payroll preparation, and invoice processing, making a meaningful contribution to our financial operations. The ideal candidate will have excellent organizational skills, a keen eye for detail, and the ability to multitask in a fast-paced setting. This role involves handling office administration, supporting various departments, managing facilities, and ensuring employees have the resources they need to succeed. WHAT YOU WILL DO Serve as the initial point of contact for office matters, fostering an inviting and productive office environment. Assist the finance team with document management, payroll preparation, bill payments and various finance projects. Ensure smooth office operations by managing and distributing mail, and overseeing suppliers and service providers. Handle the procurement and management of office supplies. Restock beverages, snacks, and bathroom supplies. Support HR with onboarding and offboarding German employees, including hardware and setup. Manage messages and gifts for employee birthdays, anniversaries, and special occasions. Plan and organize company events (virtual, in-person, and seasonal). Assist with travel arrangements and bookings for business trips. Maintain office management systems. Coordinate and communicate with cleaning personnel as needed. The actual annual base salary offered may be adjusted based on a variety of factors, including but not limited to: location, education, skills, training, and experience. This position may also be eligible for an annual discretionary bonus.
