Hauptaufgaben Works under general supervision of the Director who provides oral or written instructions, defines priorities and provides guidance on unusual matters. The employee performs routine work independently using available guidelines, which are generally applicable, and uses judgment in adapting such guidelines to the different situations encountered during the course of assignments. The Director reviews the finished project for overall compliance with instructions, guidelines and accuracy of reporting data. Serves as administrative assistant to the Director with responsibility of performing a wide variety of routine office clerical tasks. Clerical and Administrative tasks: Primarily performs a variety of office clerical tasks such as typing, answering telephones, operating reproduction equipment, greeting visitors, directing inquiries to appropriate office. Responds to requests for information concerning the office's programs and functions. Uses appropriate higher headquarters guidance in decision-making processes during unusual situations. Manages telephone calls and visitors and screens for those which can be handled without supervisory intervention. Formats and types a variety of documents ranging from basic correspondence to forms and reports. Uses office automation equipment and associated office automation equipment/software features/applications. Must be very familiar with all windows applications i.e., power point, excel, etc. Must be able to able to work under high operation tempo and stressful situations. Shows decisive thinking and flexibility during times of change. Maintains a distribution log of all walk in customers and provides monthly statistics. Keeps the office tasker suspense file Keeps an updated list of regularly used phone/fax numbers and frequently contacted agencies e-mail addresses. Maintains various records and office files. Sets up and maintains various logs, records, suspense, reference and working files. Greets visitors and/or responds to their inquiries in a general fashion. Resolves minor problems in a rapid, efficient manner. Incumbent must demonstrate common sense and must be sensitive to the requests and concerns of all customers. Performs other duties as assigned.
