As an Administrative and Office Assistant (f/m/d), you will handle administrative and procurement tasks for the team. You will also work closely with the management and engineering teams to ensure the smooth operation of our office and processes. Please note that this is a hybrid position requiring a minimum of three days per week in the office in Offenburg. We are open to considering both part-time and full-time applications. What you’ll be doing: In this role, you will assist the team with the organization of the office, operations, travel arrangements, and events. Your responsibilities will include supporting bookkeeping, HR, procurement, IT, and marketing, as well as scheduling meetings and managing documentation. You will handle general administrative tasks such as preparing bookkeeping and contracts, and assist with procurement of both office and technical supplies. Additionally, you will organize events like career fairs and team gatherings, coordinate travel bookings, and support sales and marketing activities to help ensure smooth operations across the team. Within 1 Month, You Will: Get to know the team and its requirements, priorities, and ways of working. Familiarize yourself with administrative tasks and systems in place. Start organising the office (with the support of other team members). Within 3 Months, You Will: Gain an understanding of the team’s ongoing projects and how you can contribute to them. Assist in organizing events such as career fairs or team-building activities. Assist in scheduling meetings and coordinating travel arrangements. Support the preparation of bookkeeping and contracts. Procure technical components and office supplies as needed. Within 6 Months, You Will: Take initiative in identifying areas where you can support the team. Work largely independently and become the “good soul of the office,” ensuring things run smoothly. Handle both administrative and procurement tasks with minimal supervision. Support sales and marketing activities to help advance company goals. What you’ll bring to the team: A relevant apprenticeship or education in administration, management, economics, or related fields. Strong communication skills, with the ability to collaborate effectively across teams. Proficiency in English (C1 level) and German (C1 level), both oral and written. The ability to work independently and take initiative in a fast-paced environment. A self-starter attitude with a "get-things-done" mentality, ready to tackle challenges proactively. Who we are: Hyperheat is a young Climate Tech start-up with experienced founders and the goal of developing a renewable heat solution for energy-intensive industries. Basic industrial products, such as steel, cement, chemicals, glass, and paper, form the material basis of modern societies. However, the heat demand for their production is responsible for around 20% of human CO2 emissions (or 7,5 Gt CO2 each year) due to burning fossil fuels — therefore, it is one of the last major sectors without attractive, sustainable decarbonization solutions yet.
